Administrator and Monitoring Support Officer - Creative Therapeutic Services

Job title: CTS Administrator and monitoring officer Location: Tipton, Sandwell Salary: Point 17 £11,599 per annum (£17,167 FTE) Working hours: 25 hours a week

Contract: Fixed Term Until 11th February 2022 (subject to continued funding)


The day-to-day duties

The post holder will be an integral part of the Creative Therapy Services (CTS) team. The post holder will work directly with the CTS team, in particular with the CTS coordinator, CTS assessor and with public and private sectors across the West Midlands to provide administrative and monitoring support for our range of therapeutic services and training packages to new and existing customers.

You will be required to manage the administrative support systems for these services. You will support the maintenance and development of the services databases, participate in annual project reviews and help out at occasional activities and organisational events were necessary.

You must be an effective and empathetic communicator with strong interpersonal skills and a willingness to work on your own initiative as well as part of the wider team.

You will play a key role in delivering the charity’s mission to enable therapeutic and emotional support to be provided to children and young people within Sandwell and the surrounding West Midlands areas


Knowledge, Skills and Qualifications required:

Key tasks and responsibilities

  • To be responsible for administration and monitoring processes of client records and the collation of service statistics.

  • Build strong professional relationships with other agencies and customers to ensure that children, young people and vulnerable adults receive a range of high quality counselling / therapeutic services.

  • Provide high quality customer service including advice and support. Responsible for ensuring all enquiries are dealt with and actions are followed up in an effective and timely manner.

  • Undertake day to day general administration duties (use of Microsoft word, excel, PowerPoint, outlook, access databases etc.). Training will be provided for any additional bespoke database systems.

  • Work with the CTS coordinator to help produce monitoring and evaluation reports in a format and deadline specified by EMT and external commissioners.

  • Attend internal and external meetings on a regular basis (team, customer, other agencies etc.)

  • Attend monthly supervision and quarterly appraisal meetings with the CTS coordinator.

  • Attend any relevant training and seminars in line with job post.

  • Work in accordance with necessary policies, procedures, guidelines, protocols and appropriate code of ethics.

  • Raise awareness and promote the work of the charity.

· Refer to the CTS coordinator when appropriate.

· Maintain and develop open and fair systems between the organisation and other agencies.


Safeguarding

Ensure other agencies are recruited, trained, monitored and given development support in line with the organisations quality standards for safeguarding.

To ensure that the single central record is updated and that any upcoming renewals are highlighted to CTS coordinator.

Ensure that policies and procedures are complied with and to contribute to any updating as required.
